2013 Event Dates

It's almost Halloween... time to submit all of the Club's 2013 event dates to online and print calendars!

This is quite a big project.  Every year at this time, several volunteers and I hunker down for days and manually enter each scheduled CFA event in about 25 different calendars.  Our goal is to make sure Club events are found on the internet.  We also take the opportunity to make sure event dates and distances on the CFA site are accurate.

Please confirm with me ASAP via email or a quick phone call the information for your event:

- the Club event(s) you plan to host from now until the end of 2013
- the date of your event
- the distances of your event (if changed)

Some things to consider before you respond...

Event.  A reminder that Scheduled Events are events you host every year and Flash events are one time.  We can promote both as long as your event has an event page on the CFA website and a fixed date in 2013.

Event date.  It's your event so you can schedule it for whenever you want to. Once you pick a date, however, it is very important to not change that date as it's impossible to change in printed calendars (and you don't want someone from out of town showing up for your event on the wrong weekend!).  When picking your event date, please consider your vacations and other personal/professional commitments as well as potential conflicts with other trail runs or CFA events.  If you have to be out of town on the day of your event, it's better to ask a friend to host it for you on the scheduled date.  Note:  If you have not yet submitted a 2013 event date, I picked a date, based on the date you chose this year and/or other potential conflicting events I am aware of.

Format of your event.  Are you happy with the course?  If you were thinking of tweaking it, now is the best time to do so.  (See thoughts below on how to make sure your event website is up-to-date)

Distance.  Online calendars forms like specific distances.

Contact information.  Please make sure I have your preferred email and telephone number.  This is for club use only.  I will not submit them to online/print calendars.

PS:  Some of the larger calendars (i.e. Trailrunner) are asking for submissions to be send by the mid October, *so please respond ASAP*.

PS:  I could use a hand submitting events to the calendars.  It's easy, but tedious when you have a lot of them.  Please let me know if you can spare a couple of hours over the next couple of weeks to enter events.

PS: Don't forget that as an Event Host, you get free membership in the club, but you have to register.  You can do that when the 2013 registration opens in about 1 week.

PS:  We're working on a series of reminder messages regarding things you can do over the course of the year to make your Club event successful.  For now, you might want to review your event pages on the CFA website.  Is the information about your event correct?  Are the links working?  Have you noted where your post event get-together will be?  Do registration and contact page submissions end up in your inbox?  (Please submit a test registration and contact form and let me know if you are not receiving your test submissions.)
